Preparing for an AI Assistant Project: Data, Scope and Safeguards
Before building an AI assistant, get your knowledge, boundaries and success measures right. This checklist shows how.
AI assistants can answer customers and staff quickly, but their quality depends on preparation. Most problems come from unclear scope or poor source material, not from the technology.
Define one clear job
Choose a focused task such as answering product questions or helping staff find policies. A narrow job is easier to test and safer to run.
Gather and clean your knowledge
Collect the documents the assistant should rely on: FAQs, policies, product information and past answers. Remove outdated or conflicting material. The assistant can only be as accurate as its sources.
Set boundaries
- What it may answer, and what it must hand to a person
- Topics it must refuse, such as legal or medical advice
- How it should behave when it is unsure
Plan the hand-over
Decide how a conversation reaches a human: contact form, live chat or ticket, and who receives it.
Protect data
Know what information flows to the model provider, avoid sending sensitive data unnecessarily and keep a record of conversations according to your privacy policy.
Measure success
Pick measures before launch: questions resolved, time saved, customer satisfaction and the rate of wrong answers found in review.
Keep improving
Review real conversations, add missing knowledge and update content when products or policies change.
Frequently asked questions
How much data do I need?
Often less than people expect. Clear, accurate documents matter more than volume.
Will it make mistakes?
Sometimes. Good design limits answers to approved sources, adds hand-overs and monitors quality.
